Serve as the primary point of contact for clients seeking catering services, responding to inquiries, and providing information about menu options, pricing, and availability.
Collaborate with clients to understand their event requirements, preferences, and dietary restrictions, and recommend customized menus and services tailored to their needs.
Coordinate all aspects of catering events, including menu planning, venue selection, equipment rental, staffing, and logistics, to ensure seamless execution and client satisfaction.
Prepare detailed event proposals, contracts, and invoices, and obtain client approvals for menu selections, pricing, and terms and conditions.
Communicate effectively with internal teams, including chefs, kitchen staff, and event staff, to ensure all aspects of the event are coordinated and executed according to client specifications and company standards.
Maintain accurate records of client communications, event details, orders, and payments using catering software or customer relationship management (CRM) systems.
Conduct site visits and inspections of event venues to assess facilities, equipment, and layout options, and address any logistical or operational considerations.
Assist with marketing and promotional activities to generate leads, attract new clients, and promote the company’s catering services through online channels, social media, and networking events.
Monitor event budgets, expenses, and profitability, and provide regular updates to management on financial performance and business metrics.
Stay informed about industry trends, emerging technologies, and best practices in catering and event management, and identify opportunities for innovation and improvement.
Bachelor’s degree in hospitality management, event planning, culinary arts, or related field preferred.
Proven experience in catering coordination, event planning, or hospitality management, with a strong track record of organizing successful events and delivering exceptional customer service.
Excellent communication and interpersonal skills, with the ability to build rapport with clients, vendors, and team members and effectively convey information and ideas.
Strong organizational and time management abilities to prioritize tasks, manage multiple projects concurrently, and meet deadlines in a fast-paced environment.
Proficiency in using catering software, event management tools, and Microsoft Office Suite (Word, Excel, Outlook) to create proposals, contracts, and event timelines.
Creative flair and attention to detail in designing menus, presentations, and event decor to enhance the overall guest experience.
Flexibility to work evenings, weekends, and holidays as required to accommodate client schedules and event timelines.
Knowledge of food safety regulations, licensing requirements, and industry standards for catering operations.
